Track payments and manage invoices

Once an invoice is sent, open it from the Invoices page to record payments and manage it. Everything below happens on the invoice’s detail page.

Mark an invoice paid (cash, check, or other)

When a customer pays you in person, record it so the invoice shows as paid.

  1. Open the invoice.
  2. Tap Mark paid.
  3. Choose the Method — Cash, Check, or Other.
  4. Check the Amount. It’s already filled in with the invoice total, but you can change it.
  5. Add Notes if you want (for example, a check number or who paid).
  6. Tap Mark paid.

The invoice moves to your Recent Paid & Closed section.

Send a payment reminder

If a sent invoice hasn’t been paid, you can nudge the customer.

  1. Open the invoice.
  2. Tap Send reminder now.
  3. Confirm in the box that appears.

The customer gets a reminder by email and text with a link to view their invoice. (Online card payment isn’t available yet, so the link opens the invoice and payment instructions rather than a pay button.)

You can also set up automatic reminders that go out on their own after an invoice becomes overdue — see Configure billing and payments settings.

Void an invoice

Void an invoice when it shouldn’t be paid at all (for example, the job was cancelled).

  1. Open the invoice.
  2. Tap Void.
  3. Type a reason — this is required.
  4. Tap Void invoice.

Voiding makes the customer’s invoice page inactive so they can no longer act on it, and your reason is saved in the history.

Follow the history (audit trail)

Every invoice has an Audit trail — a running list of everything that’s happened: when it was created, edited, sent, viewed by the customer, reminded, paid, or voided. Each entry has a small icon showing whether it was you, the customer, or the system that made the change.

This history is for your eyes only — your customer never sees it.

It starts collapsed to the 3 most recent events. Tap Show all to see the full list. On the main Invoices list, the latest event also shows right on each invoice row so you can see what happened last without opening it.

Read the totals breakdown

On the invoice you’ll see a clear breakdown:

Once an invoice is paid or voided, that line shows too — for example, how much was paid and by what method, or the void reason.

Every invoice has a public link your customer can open without logging in. Find it in the Customer link card:

The link looks like /invoice/… followed by a unique code.

Download a PDF

You can download a branded PDF of any invoice, no matter its status. Tap Download PDF.

Your customer can download the same PDF from their own view.

About card refunds

Refunding a card payment is coming with card payments (powered by Stripe) and isn’t available yet. Today you record payments made off-platform (cash, check, or other), and for anything you need to reverse, work it out with your customer directly.
