What your customer sees: appointment confirmation
What this page is
After you schedule a job, your customer gets a link to a confirmation page. They open it in any browser with no login and no password.
The page is branded with your business: it shows your logo, your brand color, and your business name at the top, so it looks like it came from you.
This article walks through what your customer sees, so you can answer their questions.
The appointment details they see
The page shows the appointment date and time in the customer’s own local time zone. If you set a duration when scheduling, they also see the estimated duration for the job.
The status banner
A colored banner at the top tells the customer where things stand:
- Amber (not yet confirmed): the appointment is on your books as scheduled, but the customer still needs to confirm it.
- Green (confirmed): the customer has confirmed. They’re all set.
- Green (completed): the job is done, with a thank-you message.
- Red (canceled): the appointment has been canceled.
Confirming the appointment
This is the important part. When the appointment is waiting on the customer, they see a large green Confirm Appointment button.
The appointment is not truly on the books until the customer taps that button. The page says this plainly, so if a customer asks whether they are all set, make sure they have tapped Confirm Appointment and are seeing the green “confirmed” banner.
Once they confirm, the page updates to the green confirmed state, and on your side the job shows as confirmed by the customer.
Adding it to their calendar
For appointments that are scheduled or confirmed, the page offers two ways to save the appointment:
- Google Calendar — opens Google Calendar with the appointment pre-filled.
- Download .ics — downloads a calendar file that works with Apple Calendar, Outlook, and most other calendar apps.
Both use the customer’s local time. If you did not set a duration, the calendar entry defaults to 2 hours.
The “What to Expect” section
For appointments that are pending or confirmed, the page includes a short What to Expect note. It reminds the customer that you will arrive at the scheduled time and asks them to keep clear access to the work area. If you set a duration, it repeats the estimated length there too.
Changing or canceling — you handle it
Customers cannot reschedule or cancel on this page themselves. Instead, the page tells them to contact you as soon as possible if they need to change or cancel.
When a customer reaches out, you make the change on your side:
- To move the appointment, open the job on your work-order page and use Update Schedule.
- Cancellations are handled by you as well.
There is no self-service reschedule button, so expect these requests to come to you by phone, text, or email.
