Schedule a job after a quote is accepted
What the Schedule page is for
When a customer accepts a quote, QuoFlow automatically creates a work order for that job and marks it as a draft. That draft lands on your Schedule page so you know it is waiting for a date.
Think of the Schedule page as your overview. It shows you two things:
- Jobs that still need a date (the left column)
- Jobs that already have a date (the calendar and daily list on the right)
Here is the one thing to remember: you do not set the date on the Schedule page itself. The Schedule page points you to the right job, and you set the actual date and time on the work-order page.
See jobs that are waiting on a date
Look at the Ready to Schedule column on the left. Every job whose quote was accepted but has not been given a date shows up here.
A number badge next to the heading tells you how many jobs are waiting.
Each card shows:
- The customer’s name (or the work order number if there is no name yet)
- The property address
- An Awaiting schedule note
- A status badge
- A Schedule Job button
If nothing is waiting, you will see “Nothing waiting on a schedule.” That means every accepted job already has a date.
Set the date and time
- On the Schedule page, find the job in the Ready to Schedule column.
- Tap Schedule Job. This opens that job’s work-order page.
- In the Schedule Job section, pick a Date and a Time.
- Set the Duration in minutes (it starts at 120, which is 2 hours). Adjust it to match how long you expect the job to take.
- Tap Save Schedule.
You cannot pick a date in the past. Once you save, the job moves onto your calendar and the customer can be sent their confirmation.
To change a date later, open the same job and use Update Schedule instead.
Find a job by day on the calendar
The calendar on the right highlights every day that has a scheduled job. Days with no jobs stay plain.
- Tap a highlighted day on the calendar.
- The list below the calendar fills in with that day’s jobs.
Read the daily list
When you pick a day, the daily list shows every job for that date, sorted by start time. Each row shows:
- The job’s start time (in your local time)
- The customer’s name
- The property address
- A status badge
Tap any row to open that job’s work-order page, where you can update the schedule or keep working the job.
If the day has no jobs, you will see “No Jobs Scheduled.”
Quick tips
- The calendar and daily list show scheduled and completed jobs. Canceled jobs are left off so they do not clutter your view.
- If a job is missing from the calendar, check the Ready to Schedule column. It probably still needs a date.
- On your phone, the columns stack, so scroll down to reach the calendar and daily list.
