Schedule, complete, and cancel jobs
Scheduling a job
Open a job from the Work Orders list, then find the Quote & Schedule card. Below the price you’ll see the scheduling fields.
- Pick a Date. You can’t choose a date in the past.
- Pick a Time.
- Set the Duration in minutes — how long you expect the job to take. It defaults to 120 minutes (2 hours). You can nudge it up or down in 15-minute steps, or type a number.
- Tap the button to save.
The Save button stays disabled until you’ve filled in a date, a time, and a duration greater than zero. If you try to save a date that’s already passed, QuoFlow blocks it and tells you the date can’t be in the past.
When it saves, you’ll get a short confirmation message.
Schedule Job vs. Update Schedule
The wording changes depending on whether the job already has a date:
- Not scheduled yet — the section is labeled Schedule Job and the button reads Save Schedule.
- Already scheduled — both the label and the button read Update Schedule, so you know you’re changing an existing date.
You can change a job’s date and time any time it’s still open.
Reading the scheduled details
Once a job is scheduled, a summary box appears showing the full date and time and the duration you set.
It also tells you where the customer stands:
- Awaiting customer confirmation — the job is scheduled, but the customer hasn’t confirmed yet.
- Confirmed by customer — the customer has confirmed the appointment.
You don’t have to do anything to move a job from one to the other — it updates when the customer confirms on their end.
Marking a job complete
Once a job is Scheduled or Confirmed, you can mark it done. There are two ways:
- Tap the green Mark Complete button near the bottom of the job, or
- Open the Actions menu at the top of the Work Order Information card and choose Mark complete.
A confirmation message appears, the job picks up a green Completed badge, and it moves into the Archive. To see it again, turn on the Archive toggle at the top of the page.
Canceling a job
If a job falls through, you can cancel it.
- Open the Actions menu at the top of the Work Order Information card.
- Choose Cancel.
- A confirmation box appears warning that this can’t be undone. Confirm to proceed, or dismiss it to keep the job.
Once canceled, the job gets a Canceled badge and moves into the Archive. Because it can’t be undone, only cancel a job you’re sure won’t happen.
About payment on this page
There’s no payment step on the Work Orders page. The Accepted Price (and, on a tablet or larger screen, the Job Total summary near the bottom) are for reference only — they show what the customer agreed to, but you don’t collect money from this screen.
